01

What we do

We look after sole traders, landlords and small limited companies across the Hillfoots, Stirling and Fife. Most people fit neatly into one of the three columns below, and plenty of you are two at once: the joiner with a flat let out in Alloa, the consultant halfway through going limited. The fee covers whichever combination you turn out to be.

Sole traders and partnerships

Tradespeople, therapists, consultants, tutors, shopkeepers, drivers. We keep the bookkeeping straight, file the Self Assessment and tell you what to put aside each quarter, before HMRC asks for it.

  • Bookkeeping in Xero or FreeAgent, reviewed monthly
  • Self Assessment return and full tax computation
  • Quarterly Making Tax Digital updates and final declaration
  • VAT registration and returns when you cross the threshold
  • A set-aside figure every quarter, so January is dull

Landlords

One flat above a shop in Alva, or a small portfolio across the Wee County. Property income has its own traps: finance-cost relief, what counts as a repair, the 60-day capital gains window. We handle them properly.

  • Rental accounts prepared property by property
  • Self Assessment covering property and any other income
  • Mortgage interest relief calculated the current way
  • Capital gains reporting inside the 60-day deadline
  • A sensible opinion before you buy the next one

Small limited companies

Directors of one- and two-person companies who want the filing dealt with quietly and the salary and dividend split done sensibly. Contractors, agencies, small builders, online shops, a couple of cafes.

  • Year-end accounts and filing at Companies House
  • Corporation tax return (CT600) and payment reminders
  • Director payroll with RTI submissions each month
  • Salary and dividend planning reviewed twice a year
  • Confirmation statement and registered office if you want it

We take on only as many clients as we can properly look after. At the moment that is around a hundred and forty, and when the list is full we say so rather than quietly getting slower.

Essentials

Your bookkeeping reviewed monthly, Self Assessment, quarterly MTD updates and the final declaration, and unlimited email questions.

Complete

Everything in Essentials, plus we do the bookkeeping itself, file your VAT returns and go through the figures with you each quarter.

One to three properties

Rental accounts, Self Assessment, finance-cost relief handled correctly, and an annual review of how the portfolio is held.

Four or more

As above, prepared property by property, plus planning before you buy, refinance or sell, including the 60-day capital gains report.

Director-run

Year-end accounts, the CT600, Companies House filing, payroll for one or two directors, and one director’s Self Assessment included.

With a small team

As above, plus payroll for up to five staff, quarterly VAT returns and management figures you can actually use.

Payroll

A standing charge, plus £4.50 per payslip each run. Auto-enrolment assessment is included.

VAT returns

Quarterly returns filed straight from your bookkeeping under Making Tax Digital.

Second Self Assessment

For a spouse or business partner with straightforward affairs.

Company formation

Registration, share structure, first filings and the PAYE scheme set up properly from day one. A one-off, so it sits outside the monthly figure.

Catching up

A year or more behind? Quoted as a one-off before we touch anything, so the monthly fee starts from a clean base.

And then it does not move

Your fee is fixed for twelve months from the day you join and reviewed each April. If the work turns out to be bigger than we both thought (you register for VAT, take on staff, buy two more flats) we tell you before we start, not after we have finished.

03

How it works

Nobody enjoys ringing an accountant for the first time, so here is the whole thing, start to finish. There is no sales call at the end of it.

  1. 01

You send a note or ring the office

A sentence about what you do and what is worrying you is plenty. If you would rather speak to someone straight away, the phone is answered here in Tillicoultry, not in a call centre.

    One working day

  2. 02

    A free half-hour, no strings

In the office, over the phone, or on a video call, whatever suits. We ask about your income, your records and your deadlines, and we will tell you honestly if you do not need an accountant yet.

    30 minutes, free

  3. 03

A written quote on one page

What we will do, what it costs each month, what we need from you and by when. It does not expire, and the number does not move once you have agreed it.

    Two working days

  4. 04

    We do the switching

If you already have an accountant, you tell them you are moving and we do everything else: the professional clearance letter, collecting your records, the HMRC authorisations.

    About a fortnight

  5. 05

Then it is quiet, which is the point

Books reviewed every month, every deadline diarised the day you join, and a reminder in good time rather than a panic in late January. One accountant, the same one, who knows your business.

    Every month

Chapter 04

Dates worth putting in your diary

Correct as at August 2026. We diarise every one of these for clients and chase you well before they matter, but here they are anyway, because it is your money.

5 Oct 2026

Tell HMRC you need to file

Started working for yourself or let a property out for the first time during 2025/26? This is your deadline to register for Self Assessment. Miss it and the penalty is based on the tax you owe.

31 Oct 2026

Paper tax returns due

If you still file on paper for 2025/26, it must be with HMRC by this date. Filing online buys you three more months, and we file everything online.

7 Nov 2026

MTD quarterly update

Covering the quarter to 5 October, for sole traders and landlords with qualifying income over £50,000. Straightforward if the bookkeeping is kept up. Painful if it is not.

30 Dec 2026

The PAYE coding option

File online by today and, if you owe under £3,000 and are employed or drawing a pension, the tax can be collected through next year’s tax code instead of in one lump.

31 Jan 2027

The big one

Online return for 2025/26, the balancing payment for that year, and the first payment on account for 2026/27, all due on the same day. This is the date people underestimate.

6 Apr 2027

Making Tax Digital widens

Sole traders and landlords with qualifying income over £30,000 join the quarterly regime. If that is likely to be you, the time to get the bookkeeping onto software is now, not next spring.

Limited companies run to their own calendar. Accounts are due at Companies House within nine months of your year end, the corporation tax is payable nine months and a day after it, and the CT600 has twelve months. We work backwards from your year end and tell you when we need the records.

The fee is the fee.

Chapter 06

On Mill Brae, under the Ochils

The office is on Mill Brae in Tillicoultry, ten minutes from Alloa, twenty from Stirling and about the same from the M9. Most of the work now happens by email and video call, so where you are matters far less than it used to. A good third of our clients we see once a year at most.

But if you would rather sit down with a folder of paperwork, a pen and a decent coffee, the table is there and it usually helps. Evening appointments on Tuesdays and Thursdays if the day job makes daytime impossible.

Chapter 07 · Colophon

Send a note or ring the office on 01632 960 331 and we will come back within a working day. Half an hour, free, no obligation, and no follow-up sales call.

Before you send it

If we are not the right practice for you we will say so, and usually point you at someone who is. Anything you ticked in chapter 02 comes with the enquiry on its own, so the message below is yours to write.

Questions we are asked most

I already have an accountant. Is switching a hassle?

Not for you. You tell them you are moving (a short email is fine, and we will draft it if you would rather not) and we do the rest. We write for professional clearance and ask for your records: the last set of accounts, trial balance, tax computations, capital allowances pool and payroll data. They are professionally obliged to hand those over.

It usually takes about a fortnight and there is nothing for you to chase. The tidiest moment to move is just after a set of accounts has been filed, but honestly, any time of year works, including January, when quite a lot of people decide.

My bookkeeping is a mess and I am behind. Will you take me on?

Yes, and you are far from the first. We will quote a one-off catch-up fee before we touch anything so you know the worst up front, get you current, then start the monthly fee from a clean base.

If there are late filing penalties already, they are almost always cheaper to face early than to hide from. We will tell you exactly where you stand, and where there is a reasonable excuse (illness, bereavement, a failed HMRC service) we will help you make the case.

Does Making Tax Digital for Income Tax apply to me?

If you are a sole trader or landlord with qualifying income over £50,000, it started in April 2026: quarterly updates through software, then a final declaration after the year end. Over £30,000, you join from April 2027. Below that, nothing changes for now.

Qualifying income is turnover and gross rents added together before expenses, which catches people out. A small trade plus one let property can cross the line on its own. If you are a client, we will tell you which side you are on and set the software up either way.

Do I have to pay for Xero or FreeAgent on top of your fee?

The subscription is billed by the software company, not by us, and for most sole traders it is somewhere around £16 a month. We can add it to your monthly fee at cost if you would rather have one bill.

Before you pay for anything, check your bank: FreeAgent comes free with some business accounts, and if that covers what you need we will happily set you up on it and say nothing more about Xero.

Are the fees really fixed, or is that the headline price?

Really fixed, for twelve months from the day you join. Ringing us does not cost anything. Emailing a question does not cost anything. A meeting does not cost anything.

The only thing that changes the number is the work genuinely changing (you register for VAT, take on your first employee, buy two more properties) and we would tell you what the new fee is before starting that work, not on the invoice afterwards.

Should I go limited?

Sometimes, and less often than the internet suggests. It is partly a sums question, the tax saving at your profit level after the extra accountancy, payroll and filing costs, and partly a question of whether you want the admin and the public record that comes with it.

We will model both, show you the take-home difference in pounds, and tell you plainly if the answer is that it is not worth it yet. That advice is part of the free half-hour, not a chargeable piece of work.

Do we have to meet in person?

Not at all. Plenty of clients we speak to twice a year on a video call and never actually see. Others come in with a folder every quarter and we go through it together. Both are completely fine, and it costs the same either way.
